These are the terms for students joining Apex Tuition from August 2026. They cover what your subscription includes, what you pay and when, and how cancellation works — in plain English, with no surprises. By ticking the acceptance box at checkout you agree to them on behalf of yourself and your child.
1. Who we are
Apex Tuition is run by Uthman Syed (sole trader), United Kingdom. You can reach us at:
- Email: admin@apextuition.co.uk
- WhatsApp: +44 7777 366 182
All Apex communications are in English.
2. What your subscription includes
Apex is one complete programme — everything is included, with no add-ons or upsells:
- A weekly 2-hour group session at your child's level, in a group of up to 4 students
- A recording and a written summary of every session
- Weekly practice set alongside each lesson
- A monthly written progress report
- Access to the student portal (recordings, summaries, resources)
Apex runs all year round, including school holidays. If your child misses a session, the recording, summary and practice cover it (see clause 8).
3. Joining: the £200 Placement
Every new student starts with the Placement — your first payment of £200, made up of your first 4-week cycle (£120) plus a one-time £80 setup fee. It includes:
- 8 hours of one-to-one teaching — four 2-hour sessions across your first 4 weeks
- Assessment of your child's exact working level
- Catch-up on the gaps that would otherwise hold them back, so they join their group ready — not behind
- Student portal access from day one
Your child's placement slot is confirmed once your first payment clears. After the Placement, your child moves into their assigned group and the same subscription simply continues — nothing new to set up.
4. Ongoing payments
- After the first cycle, your subscription is £120 every 4 weeks, taken automatically through our payment provider, Stripe. You receive a receipt by email for every payment.
- Please note billing is every 4 weeks, not calendar-monthly — that's 13 payments across a full year (£1,560/year). We bill this way because it matches exactly what we deliver: 4 sessions per cycle, every cycle.
- If a payment fails, we'll let you know and allow a 7-day grace period to update your details. If it stays unpaid, your child's place may be paused until it's resolved.
5. Your 14-day cooling-off right
Because you sign up online, you have a legal right to cancel within 14 days of subscribing, under the Consumer Contracts Regulations 2013.
- By signing up, you expressly request that your child's placement sessions begin straight away, within the 14-day cooling-off period, rather than waiting for it to end.
- If you cancel within the 14 days, we refund your payment minus £50 for each placement session already delivered — the proportionate cost of what your child has received (£200 ÷ 4 sessions).
- If all four placement sessions have been delivered, the first cycle has been fully performed and that payment is no longer refundable.
- To cancel, just message us on WhatsApp or email. Refunds go back to your original payment method, normally within 5 business days.
6. Cancelling later
- You can cancel at any time with 30 days' notice (WhatsApp or email is fine). Your child's place stays active, and payable, during the notice period.
- We don't refund the unused part of a cycle you've already paid for.
- During the Placement (after the 14-day cooling-off window): the £200 is not refundable — the placement work has been delivered.
- Cancelling in your 2nd or 3rd cycle: a £50 placement-recovery fee is added to your final invoice, reflecting the setup and placement cost not yet recovered.
- After your 3rd cycle: no fee — just the 30 days' notice.
7. Coming back after cancelling
- Within 6 months: your child's place, records and history are restored on payment of a £100 re-activation fee — no new Placement needed.
- After 6 months: your child's old group will have moved on, so re-joining works like a new start — including a new Placement at the then-current rates.
8. Missed sessions, holidays and breaks
- Your child's slot is reserved for them — the tutor holds that time and prepares for it.
- Group sessions can't usually be moved for one student (that would mean re-arranging three or four other families). If your child misses one, they catch up through the recording and summary in the portal.
- One-to-one sessions: with notice (ideally 48 hours or more) we'll do our best to reschedule, subject to tutor availability — though it can't be guaranteed.
- We don't refund or credit sessions missed on the student's side, for any reason — the recording and summary always cover the content.
- If Apex cancels a session (tutor illness, technical fault): we reschedule it, or credit one session to your account.
- Holidays: your child's place and billing continue, and the recordings and summaries keep them on track. There's no standard pause option — but in genuine emergencies (such as serious illness or bereavement), talk to us and we'll look at it individually.
9. Recordings and summaries
- All sessions are recorded by default, and we use AI tools to produce a written summary of each one. Both are standard parts of the service — by signing up, you consent to them for your child.
- Recordings, summaries and all Apex materials are for your child's personal, educational use only — they must not be shared, posted publicly or redistributed.
10. Sessions and conduct
- Students attend on time, with their camera on, ready to work, and treat their tutor and group with respect. We may remove a student for serious or repeated misconduct.
- Please provide a suitable device, stable internet, a quiet place to work, and a pen tablet or stylus so your child can work through problems live. Not sure which to get? Just ask us.
- We place students in groups by level and may move or restructure groups where we believe it's a better fit.
11. Our service and limits
- We provide tuition with reasonable care and skill.
- We don't guarantee any particular grade or result — progress depends on your child's effort as well as our teaching.
- We're not responsible for problems caused by your equipment or connection. If a session fails for a reason on our side, we reschedule or credit it.
- Our total liability is limited to the fees you've paid in the 3 months before an issue arose. Nothing in these terms affects your statutory rights or any liability that can't legally be limited.
Refunds are always made via Stripe to your original payment method. Where a refund is given as a goodwill gesture rather than a legal entitlement, we may deduct the payment-processing fee our provider doesn't return to us.
12. Your data
We hold and use your and your child's details only to deliver the service — lessons, recordings, summaries, reports and payment. Full details, including your rights and how long we keep things, are in our Privacy Policy. We follow UK data protection law (UK GDPR).
13. Changes to these terms
We may update these terms with 30 days' notice by WhatsApp and email. Continuing with Apex after that means you accept the updated terms.
14. Governing law
These terms are governed by the law of England and Wales, and any disputes fall to the courts of England and Wales.
