This policy explains what personal information Apex Tuition collects, why we collect it, who we share it with, and the rights you have over it. We keep it plain and short on purpose.
Who we are
Apex Tuition ("we", "us", "our") is an online maths tuition service operated by Uthman as a sole trader, based in the United Kingdom. For anything in this policy you can reach us at:
- Email: admin@apextuition.co.uk
- WhatsApp: +44 7777 366 182
We are the "data controller" for the personal data described below — meaning we decide how and why it is used.
What we collect and why
We only collect what we need to answer enquiries, run free trials, and deliver tuition. In plain terms:
Cookies and tracking
Like most websites, we use cookies and similar technologies. Some are essential to make the site work. Others — Google Analytics and the Meta Pixel — are non-essential and help us measure traffic and advertising. These only run with your consent, and you can withdraw it at any time by adjusting your browser settings to block or delete cookies.
You can opt out of Google Analytics across all websites using Google's opt-out browser add-on, and manage Meta's advertising cookies in your Facebook or Instagram ad settings.
Booking a trial
Our booking calendar is provided by Calendly. When you book, the name, email and any details you enter go to Calendly and to us, so we can confirm and hold your session. Calendly's own privacy notice governs how they handle that data.
Who we share your data with
We do not sell your data. We share it only with the service providers we rely on to run Apex Tuition, and only so they can perform that service for us:
- Google (Analytics) and Meta (advertising pixel) — website and advertising measurement
- Calendly — trial booking
- Netlify — website hosting
- Zoom — live and recorded lessons
- Stripe — subscription payments
- Notion — the student portal (recordings, summaries, resources)
Some of these providers are based outside the UK, including in the United States. Where your data is transferred abroad, it is protected by appropriate safeguards such as the UK's International Data Transfer Agreement, standard contractual clauses, or an adequacy decision (for example the UK–US Data Bridge).
How long we keep it
- Website analytics: retained by Google for up to 14 months, then automatically deleted.
- Enquiries that don't lead to joining: kept for up to 12 months from your last contact, then deleted.
- Student and parent records: kept for the duration of your engagement and for up to 6 years afterwards, to meet our legal and accounting obligations.
- Lesson recordings: kept while your subscription is active and for a short period afterwards, then deleted.
Children's privacy
Most of our students are under 18. Where a student is a child, their parent or guardian is our point of contact, signs up on their behalf, and gives any consent required — including consent to lessons being recorded. We only collect the student information needed to teach them well.
Your rights
Under UK data protection law you have the right to:
- ask for a copy of the personal data we hold about you;
- ask us to correct anything that's wrong;
- ask us to delete your data, where we no longer need it;
- object to, or ask us to restrict, certain uses;
- withdraw consent at any time, where we relied on consent; and
- ask us to transfer your data to another provider.
To exercise any of these, just email admin@apextuition.co.uk. If you're unhappy with how we've handled your data, you can complain to the Information Commissioner's Office at ico.org.uk — though we'd appreciate the chance to put things right first.
Changes to this policy
If we change how we handle your data, we'll update this page and change the "last updated" date at the top. For significant changes affecting current families, we'll let you know directly.
